Members, Roles & Invites

A workspace is its people. This page covers how someone joins, what their role lets them do, and where membership of the workspace differs from membership of a team.

Two levels of membership

Level What it gives Where it is managed
The workspace Access to the workspace: its public channels, projects, documents, files and the boards of every team that is not private Settings → Members
A team A place on the team's roster. For a private team it is what lets you see the team's tasks at all Settings → the team → Members

Joining the workspace does not put a person on every team. Choose their teams when you invite them, or add them to a team later.

Roles

Role What it is for
Admin Runs the workspace: invites people, manages trusted workspaces, repositories and teams, and can remove a member from a team
Member Does the everyday work: tasks, projects, discussions, documents, brainstorms and files

An admin is not above a private team. An admin who is not on a private team does not see its tasks until they join it.

Your own role is shown in the avatar menu at the bottom of the sidebar.

Inviting people

Inviting is for admins. Use Invite user in Settings → Members, or Invite User in the avatar menu.

Field Notes
Email Where the invitation is sent
Role The role the person will have
Teams The teams they join on arrival. Include a private team here if they should see its work

The person receives an email with a link. When they accept it, they become a member of the workspace and of the teams you chose.

The members list

Settings → Members lists everyone in the workspace with their name, email, role and the date they joined. Every member can see the list.

Working with people outside the workspace

Not everyone you work with needs to be a member:

  • A partner company can work with you through a shared channel and read the documents you mark for trusted workspaces, without joining yours. See Trusted Workspaces.
  • Anyone with the link can read a document you made public. See Publishing & Visibility.
